Booking & Process

How does the booking process work?

The process begins with a quote request, where you share your wedding details with us — the date, location, and what you are looking for in a photography and video team.

After sending the proposal, we can schedule a meeting if you wish. This meeting can be in person or via video call to get to know each other, understand your vision, and discuss what you have planned for your wedding.

If you decide to move forward, the booking is formalized by signing the contract and paying the deposit.

How far in advance should we book?

We recommend booking as soon as your wedding date is set. The most sought-after dates, especially in spring, summer, and autumn, are usually booked well in advance.

The earlier you book, the higher the chances we will be available for your date.

What happens after we book?

After signing the contract and paying the deposit, the date is reserved for your wedding.

Leading up to the day, we stay in touch with you to align necessary details, clear up any doubts, and, when it makes sense, visit the venue.

Do you have meetings before the wedding?

Yes. We schedule one or more meetings, either in person or via video call, before the wedding. It’s an opportunity to get to know each other better, understand your expectations, discuss the logistics of the day, and answer any questions.

We want to arrive at the wedding knowing what is planned and who the most important people and moments are to you.

Can we meet in person?

Yes. For weddings in Portugal, we can schedule an in-person meeting at our studio.

For international weddings, or when distance prevents a face-to-face meeting, we do a video call. In practice, this works just as well for planning the day together.

Do you work with couples from other countries?

Yes. We specialize in destination weddings and regularly work with international couples who choose Portugal, Spain, Greece, or Italy for their wedding.

We speak Portuguese and English, and we are used to working with couples remotely, guiding them through the entire process up to the wedding day.

Pricing & Packages

How can I find out your prices?

Every wedding is different, which is why we work with custom proposals based on the date, location, duration (days of the event), and the services you wish to book.

Get in touch with us, and we will gladly send you a proposal tailored to your wedding.

Do the prices include both photography and video?

You can book photography, video, or both services together.

When both services are booked with QFILM Studio, we work with a dedicated team for each area, featuring two photographers and two videographers at the wedding.

When the same team handles both photography and video, there is a much more natural coordination among everyone. This allows us to work together without interfering with each other’s work and without missing any important moments.

What is the deposit percentage?

The booking deposit is 20% of the total contract value. It is paid upon signing and guarantees your date is reserved in our calendar.

When is the remaining balance due?

The remaining amount is defined in the contract and must be paid up to two days before the wedding.

The payment plan is always clearly outlined before the contract is signed.

Are travel expenses included in the price?

When there are travel expenses for the team, these are calculated separately and included in the proposal.

How are travel expenses calculated?

Travel expenses may include transportation, such as flights or other necessary means, as well as the team’s accommodation and meals.

The amount is calculated based on the wedding’s location and is presented in the proposal.

On the Wedding Day

How many professionals will be at our wedding?

Our team consists of four professionals: two photographers and two videographers.

We always work this way to ensure full coverage of the wedding and to allow photography and video to happen simultaneously, with a properly coordinated team.

Does the team stay together all day or do you split up?

The team works together, but we don’t always stay in the exact same location.

When necessary, we split up strategically. For example, during the couple’s preparations, we can be in different places to cover both moments simultaneously.

This is one of the main advantages of always working with four professionals.

Do you use a drone?

Yes. We use a drone for both photography and video whenever the conditions and location allow it.

Aerial shots can add a different perspective to the film and photographic record, especially for weddings held in locations with striking landscapes or architecture.

What happens if it rains on the wedding day?

Rain is just part of the day and doesn’t mean the result will be worse. On the contrary, it often creates opportunities for unique photos and video footage.

We are prepared to adapt to the day’s conditions and adjust our work whenever necessary. Some of the most memorable moments actually happen when plans change.

How many hours of coverage are included?

We do not work with a strict time limit. We usually start about two to three hours before the ceremony begins and stay at the wedding until all the planned moments have concluded.

The duration is therefore based on your day and not just a fixed number of hours.

Style & Editing

What can influence the quality of the final result?

Light is one of the most important elements in our work. Whenever possible, we love to take advantage of natural light, especially during outdoor moments and sunset.

Organization and communication with the other vendors — wedding planner, DJ, venue, or catering — also make a big difference. The better coordinated the day is, the more naturally we can capture everything that happens.

How would you describe your photography and video style?

Our style blends a documentary approach with an elegant and timeless editorial aesthetic. We like to photograph what is actually happening, without turning the wedding into a sequence of overly staged moments. At the same time, we place great importance on composition, light, and visual aesthetics, especially during portraits.

Our intention is to create photos and films that have personality and will still remain relevant many years down the line.

Do you retouch skin or use Photoshop on the photos?

We apply careful and consistent editing, but we always aim to preserve people’s natural look.

We do not heavily alter the couple’s appearance. We want you to recognize yourselves in the photos and still look like you.

How long does editing take?

Edited photos are delivered within 15 to 20 business days after the wedding. Editing is a crucial part of our work, and we don’t like to rush it just to shorten the wait time.

The wedding trailer follows the same delivery timeframe of 15 to 20 business days.

Do we see all the captured photos, or do you make a pre-selection?

Before delivery, we professionally select and edit all the images.

We do not deliver test shots, blurry photos, or duplicates.

You receive a carefully selected and edited collection that represents the best moments of your wedding.

Delivery

How many photos will we receive?
We deliver, on average, around 1,500 edited photos. The number can vary depending on the length of the wedding and everything that happens throughout the day. More than hitting a specific number, our goal is to ensure that the important moments are properly represented.
How are the photos delivered?

The photos are delivered through a private online gallery. From this gallery, you can view, download, and save the images in high resolution, both for sharing and printing.

How long will the photos be available in the online gallery?

The photos remain available in the online gallery until the entire process related to your wedding is finished, from the delivery of the images to the completion of the other contracted products and services.

In what format are the photos delivered?
The photos are delivered digitally in high resolution, ready for both sharing and printing.
In what format is the video delivered?
The video is delivered in a high-quality digital format, optimized for viewing across different devices and easy sharing.
Are printed albums or physical products included?

If your initial quote does not include an album or other physical products, you can add them to the proposal.

It is also possible to purchase albums or other products after the wedding. If you are interested, just let us know.

Video

What types of wedding films do you produce?

We produce different film formats.

The wedding trailer gathers the main moments of the day into a shorter film, built with a storytelling approach.

We also produce the full film, which allows us to tell the wedding story more comprehensively, as well as shorter versions for social media sharing when that service is included in your package.

What is the typical length of the wedding film?

It depends on the format and the package chosen. Generally, the wedding trailer is between three and four minutes, and the full film averages about 15 minutes.

Do you do same-day edits (a video edited on the wedding day)?

We do not do same-day edits.

We prefer having the necessary time to edit the film with the care our work demands. Editing in just two or three hours during the wedding itself does not allow us to achieve the level of quality we want to deliver.

We prefer to deliver the film after the wedding, taking the time to craft every moment and build a narrative that elevates your wedding film to a level of excellence.

Can you include vows and speeches in the video?

Yes. Vows, speeches, the ceremony, and other moments with audio are a crucial part of the film’s narrative.

We use dedicated audio equipment to ensure clear, high-quality sound capture, even in outdoor environments or with background noise.

Do you use licensed music in your videos?

Yes. We work with properly licensed music and aim to choose a soundtrack that matches the style and emotion of each wedding.

Whenever possible, we also take the couple’s preferences into account.

Logistics & Destination

Do you work outside of Portugal?

Yes. We specialize in destination weddings and work in various international locations.

Traveling is part of our job, and we are used to preparing for every wedding with the exact same care, regardless of where it takes place.

Are we responsible for the team’s meals and accommodation?

Yes. The team’s meals and, when necessary, accommodation are covered by the couple.

Does the team need to stay at the venue or nearby?

When the wedding goes late into the night or involves a long commute, accommodation near the venue may be necessary. This need is always evaluated and planned in advance.

Which countries do you usually work in?

We regularly work in Portugal, Spain, Greece, and Italy. We also work in other international destinations.

What languages do you speak?

We speak Portuguese and English.

For international couples, we can communicate entirely in English throughout the process – from meetings and proposals to the contract and the wedding day itself.

Can our photos and videos appear on your social media or in publications?

We respect our clients’ privacy.

We do not publish wedding photos or videos without the couple’s approval. For those who want total privacy, we can also sign a confidentiality agreement.

Can you sign an NDA to guarantee our total privacy?

Yes. We sign confidentiality agreements with couples who request it.

Client privacy is a priority for QFILM Studio, regardless of whether a formal NDA exists. Every couple decides what they do or do not want to share.

Do you have liability insurance?

Yes. QFILM has liability insurance. All professionals present at the wedding also have workers’ compensation insurance.

Is a contract mandatory?

Yes, always. The contract protects both parties and outlines in writing all the key elements of the service, including the date, duration, booked services, costs, and payment terms. It is the simplest way to ensure everyone knows exactly what has been agreed upon.
